How can I get the mountain to come to me (or how to use RSS feeds)?

Are you one of the many AIIM members that do not currently use RSS feeds? Many people subscribe to blogs and newsletters by email, but I would recommend you to try a Reader. This allows relevant information to be “pushed” to you instead of you having to visit several web pages. Two free alternatives are Google Reader and personalized Google Homepage, which collect any news on your favorite web pages and displays this on one webpage for you. To test how this work do the following:

1. Press “Subscribe in a reader” on the right side of this post

2. Select your preferred reader, e.g. “Add to Google”

3. If you selected “Add to Google”; Choose between Google Homepage and Google Reader. I recommend you start with Google Homepage and then move on to Google Reader when you understand how this works.

4. You will have to register to use Google Homepage, but this does not cost any money. I suggest you make this your start page, add new RSS feeds, and “drag and drop” the feeds as you prefer it.

Electronic Records Management or Enterprise Search?

In a sense there is a 'tug of war' between these approaches.  But, clearly Classification & Search Engine approaches can & should complement, rather than conflict with, each other. In fact, all ERM systems include a search engine to supplement other forms of retrieval. ISO 15489 lists the following benefits of developing a Business Classification Scheme:

  1. Providing linkages between individual records which accumulate to provide a continuous record of activity
  2. Ensuring records are named in a consistent manner over time
  3. Assisting in the retrieval of all records relating to a particular function or activity
  4. Determining security protection and access appropriate for sets of records
  5. Allocating user permissions for access to, or action on, particular groups of records
  6. Distributing responsibility for management of particular sets of records
  7. Distributing records for action
  8. Determining appropriate retention periods and disposition actions for records

Free ECM Buying Guide

AIIM has made its new Guide to ECM Purchasing available for free as a PDF book to AIIM Associates and Professional Members. This 158 page guide contains definitions, glossary, how to buy, when to outsource, and a directory of industry solutions and service providers.

What are the necessary components of any ECM program?

There is no single ‘route’ through the subject of ECM, so - to illustrate the connection between the different elements of ECM – AIIM has developed a ‘ECM roadmap’ that we use to demonstrate the different concepts or components that needs to be covered in any ECM program or project.

This roadmap is the basis of AIIM’s ECM Practitioner training program, and the underlying aim of this program is to enable you to recognize the opportunities for using ECM, to understand the issues, and to enable you to engage in informed debate within your organization and with potential suppliers.
